Moving from whatever you’re on now
Most companies who join us are leaving something — a spreadsheet, a T&A phone line, or a system that was sold to them five years ago. We do the data work. You keep operating while it happens.
The plan
Three to four weeks, most of it ours
A single-site operation is usually live within a week. Twenty sites with existing paperwork takes three to four — and the bulk of that is us doing data work, not you filling in forms.

- Week 1
You send us what you have. A rota export, a staff list, your rate cards and a few post orders. CSV, Excel, PDF, a shared drive — whatever exists. We map it and come back with questions.
- Week 1–2
We load sites, clients and rate cards. Commercial terms go in before any rota, so every hour recorded afterwards already knows what it is worth.
- Week 2
Officers onboard themselves. Magic-link invitations. They complete their own details, licence photographs and right-to-work documents in the app. Expect around 85% done within four days.
- Week 2–3
Parallel running. One contract goes live on check-in while everything else carries on as it was. Your old process keeps running alongside until you trust the new numbers.
- Week 3–4
Billing switches over. The first invoice run is reconciled line by line against your old one. This is usually where companies find hours they had been giving away.

- Sites, clients, rate cards and shift patterns
- Historic timesheets where you need them for continuity
- Existing post orders, reformatted into sections
- Holiday balances carried across mid-year

Questions people ask before moving
Will we lose history?
No. We bring across what you need for continuity — officer records, licences, holiday balances and as much timesheet history as your old system will export. Anything we can’t import, you keep a copy of; we tell you clearly which is which before you commit.
What if our officers won’t use an app?
It is the most common worry and it rarely survives the first week. Sign-in is a six-character company code and an email address, there is no password to remember on day one, and it works with no signal. Where someone genuinely cannot use a smartphone, a supervisor can check them in.
Can we run both systems for a while?
Yes, and we recommend it. One contract goes live first while the rest carries on unchanged. Nobody should switch billing onto a system they haven’t watched work for a fortnight.
We’re mid-contract with our current supplier.
Tell us when it ends and we plan the migration to land just after. There is no minimum term here, so you can start on a small plan and grow into it rather than paying twice for long.
Who does the work?
We do the data mapping and loading. You make the decisions — which rate applies where, who signs off which site. Expect to spend a few hours across the whole migration, not a few weeks.
